Business Process Design

Apis’ Business Process Design Methodology has successfully delivered business benefits including increased understanding and transparency, increased accountability, effectiveness and efficiency, buy-in and cultural change. Our approach can map to a wide range of government business applications including policy and delivery environments.

The Apis approach – The Apis Business Process Design Methodology draws on industry best practice and expertise from across our suite of services. Our methodology combines comprehensive business analysis techniques with robust and targeted project, change and communication management.

Tailored design – Apis diagnoses issues with existing processes including low-value tasks, chokepoints and inefficient workflows. We design business processes to be:

  • Contextual - supporting business objectives, linkages and dependencies;
  • Streamlined – free of duplication with information captured once at the source and mandatory steps identified;
  • Accountable – owners are accountable for effectiveness and relevance, with reporting gates for measuring effectiveness and progress; and
  • Supported – processes are supported by appropriate tools, documentation (instructions and guidelines), training and organisational structure.

Fit for purpose – Apis personnel have practical knowledge of the application of business process design in government and commercial settings. In Apis’ experience, there is no ‘one size fits all’ solution to process design. For that reason, Apis draws on key underpinning principles making our work flexible and fit for purpose. Apis can implement the methodology in its entirety, or in tailorable components to suit our client’s needs.

Change & communications – Apis engages with all levels within an organisation to encourage senior management buy-in, gather requirements, foster realistic expectations and promote end user ownership. Apis ensures all stakeholders are informed about the stages of business process design before they occur, minimising disruption to business and staff during the process.

Governance – Apis establishes strategic and operational governance at the onset of business process design. We consider business context and tailor governance to achieve client objectives. The governance system supports the development and ongoing management of business processes to ensure performance, consistency and longevity.

Focused analysis – The Apis Business Process Design Methodology is underpinned by three tiers of process mapping. The mapping supports the design process by providing a business analysis tool and an ideal communications tool – selling the reform process visually. Each tier addresses an increasingly deeper level of process detail. A current snapshot of the organisation’s position can be developed and laid down against an alternative way forward. Compared side by side, the path to change from a business process perspective becomes clearer and more concise.

Project controls – Apis is adept in using tools and techniques endorsed by the client, but in the absence of client mandated methodologies, Apis applies the principles of project management in the Business Process Design Methodology. Our process defines and implements key project controls, including:

  • Implementation strategies – including work plans, clear timelines, milestones and interdependencies;
  • Change control – allowing reform to be flexible but capturing changes to requirements and approval from the governance body;
  • Quality management – allowing a feedback loop for improvement; and
  • Risk management – to identify, assess and mitigate any potential risk to service delivery and to support a successful change process.
